Who we are
The data controller is the non-profit association International Ladies Group of Padova, Tax Code 05228280284, Via della Pieve 17, 35121 Padova, email: internationalladiespadova@gmail.com.
What data we collect
When you apply for membership we collect your first and last name, email address, phone number, city of residence and nationality, and any message you choose to send us through the form. We also record your membership fee payments. If you give your consent, we also process photos and videos in which you appear, taken during our events.
Why we use it and on what legal basis
Membership management. We use your data to process your application, manage your membership, collect the annual fee and inform you about events and activities by email and phone. This is necessary to carry out the membership relationship (Art. 6(1)(b) GDPR). Without this data we cannot accept your application.
Accounting. We keep records of fee payments to meet our legal and tax obligations (Art. 6(1)(c) GDPR).
Photos and videos. We may publish photos and videos taken at our events on our website, our Facebook group and our Instagram account. We do this only with your consent (Art. 6(1)(a) GDPR). Giving it is optional and has no effect on your membership. You can withdraw it at any time by writing to us. From then on we will not publish new images of you, and we will remove existing ones from our channels where reasonably possible.
Who we share it with
Your data is handled by members of the Steering Committee and by the service providers we use:
Squarespace, for the website and form;
Mailchimp (Intuit Inc.), for our member list and for sending emails;
Meta, for our Facebook group and Instagram account.
Some of these providers process data in the United States, under the EU-U.S. Data Privacy Framework or Standard Contractual Clauses. We never sell your data.
How long we keep it
We keep membership data for as long as you are a member, and delete it within 12 months after your membership ends. Payment records are kept for the period required by Italian law (10 years). We keep images until you withdraw your consent.
Your rights
You can ask to access, correct or delete your data, restrict or object to its processing, receive a copy of it, and withdraw your consent at any time. To do so, write to internationalladiespadova@gmail.com. You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali, https://www.garanteprivacy.it).
